QuickBooks Online Connection (Kaizen Ops)

Kaizen uses an internal software application, Kaizen Ops, that connects to a client's QuickBooks Online company file through Intuit's official API. It is not offered to the public. When a client authorizes the connection, the application may read accounting data in that file and, as described below, update it: transactions, account balances and financial reports, customer, vendor and item records, and company information needed to run reports and reconcile accounts. We access only the data needed to do the accounting work the client engaged us for. The application may also record or correct entries in the file, but only when a named Kaizen team member has reviewed and approved the specific change. Software never posts to a client's books on its own.

We do not sell this data or use it for advertising. We share it only with Intuit as required to operate the connection, with service providers who help us run our practice and are bound to confidentiality, and with authorities if the law requires it. The connection uses Intuit's OAuth 2.0 authorization; we never see or store a client's QuickBooks password. Application credentials are kept in an encrypted password manager with restricted access, and access tokens are stored on a Kaizen-controlled computer, readable only by the team members who operate the application. The application logs each request it makes (time, company, request type, result) and never logs account data or tokens. Data is processed and stored in the United States, and is kept only as long as the engagement and our professional record-keeping duties require.

A client can disconnect Kaizen Ops at any time from the "Connected apps" page in QuickBooks Online or by emailing solutions@kaizencpas.com.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements. The “Last Updated” date below indicates when this policy was most recently revised.
